About the Role:
Are you an exceptional Executive Assistant with a passion for supporting senior leadership in a fast-paced and dynamic environment? This is your chance to play a key role in the success of two senior executives—our Chief Financial Officer (CFO) and General Manager Corporate Services (GM) as they drive the business forward. 
In this pivotal role, you’ll be at the heart of the action, managing high-level administrative tasks, liaising with key internal and external stakeholders, and driving exciting projects and process improvements.

In this role you will: 

  • Own the day-to-day management of the CFO and GM’s schedules and take initiative in diary management, including meetings, travel, and correspondence. 
  • Be the go-to point of contact for a wide range of stakeholders—from senior management to shareholders and external partners.
  • Lead and support exciting projects, working across teams to drive administrative and operational improvements.
  • Take charge of organising workshops, conferences, and meetings—managing logistics, travel, and accommodation.
  • Play an integral role in coordinating respective General Managers Board papers, and Committee meetings, ensuring flawless execution of logistics and distribution of key materials, including managing deadlines.
  • Help foster team morale by supporting team-building events and recognition programs. 
  • Partner with wider EA team to ensure key business dates, and business unit functions run seamlessly. 
  • Manage invoices, credit card expenses, and business unit supplies, in line with company policies.
  • Co-ordinate and arrange complex overseas travel and roadshows for the CFO, as well as any other ad-hoc travel arrangements.

 

What you’ll bring to this role:

  • Solid experience as an Executive Assistant, ideally supporting C-suite executives.
  • Stellar communication and problem-solving abilities that will help you excel at managing multiple priorities, and prioritising effectively.
  • VCE qualified, or equivalent office administration experience.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Familiarity with Concur Expense and Travel systems.
  •  A keen eye for detail, amazing communication & outstanding organisational skills.
  •  Proven experience in a fast-paced environment with multiple stakeholders.
  • A deep understanding of business unit operations and a desire to make an impact .
