About the role
This role will see you welcoming clients and customers in person or by phone, ensuring all queries and visitors are directed to the appropriate business area or extension. You will provide support with company records, mail services, and administrative tasks across Corporate Services and other business units as required. Responsibilities also include managing ground floor meeting room bookings and providing occasional support to the CEO’s Executive Assistant.
What you’ll deliver:
- Welcome & receive clients/visitors to Powercor, CitiPower, United Energy Head Office.
- Notify the appropriate person of attendance in reception of their client/visitor.
- Answer any incoming calls & refer to appropriate persons as required.
- If Facilities coordinator is not available register building faults & arrange for subcontractors to attend & rectify
- Maintain mail room to a high standard & ensure it is kept neat & tidy.
- Update, maintain the EOT locker spreadsheet.
- Assistance with ground floor meeting room bookings & assistance with EA to CEO tasks.
- Log & arrange local, interstate & international couriers through Australia Post, Startrack & DHL (both same day & scheduled pickups).
- Order express post / registered envelopes for the mail room, order Startrack consumables etc.
- Issue & maintain visitor Identification passes when security isn’t available.
To succeed in the role, you’ll have:
- Proven experience managing a corporate reception environment, with the ability to create a welcoming and professional first impression for clients and visitors.
- Strong proficiency in Microsoft Office applications, with the capability to manage correspondence, records, and scheduling tasks efficiently.
- Exceptional customer service skills, demonstrating a proactive, solutions-focused approach and the ability to engage confidently with stakeholders at all levels.
